All reservations
are subject to 13.75% Sales Tax (7.75% for NC Sales Tax
and 6% Sugar Mountain Occupancy Tax).
Payment Information: Visa, MasterCard, &
Discover, Cashier’s Check, & Money Orders are accepted.
Personal checks are welcome if received 15 days in
advance of arrival date.
Security Deposit Waiver: In lieu of paying a
refundable Security (Damage) Deposit, we have already
included a non-refundable $45 fee to purchase a Security
Deposit Waiver policy into the rental totals listed on
the individual properties. The Security Deposit Waiver
is a protection plan that protects you from accidental
damage to the property. This waiver policy does not
cover negligent or willful and wanton conduct. A

limitations will be sent with your Vacation Rental

Security Deposit: If you decline the Security
Deposit Waiver Protection Plan that is included in the
rent, we require a $200 Security (Damage) Deposit and in
some cases, additional amounts for extended stays or
additional guest in the unit. This security deposit may
be paid by personal check 15 days in advance of arrival
date. If reservation is within 15 days of the arrival
date, it may only be paid by cashier’s check or money
order via the mail OR cashier’s check, money order or
cash in person at check-in. The security deposit can NOT
be paid with a credit or debit card. Your keys will not
be left out for you in the event of a late check in if
your security deposit has not been paid so plan
accordingly. This security deposit will be deposited in
the company trust account and your Security Deposit will
be refunded by check within 45 days of you departure
minus charges, IF ANY.
Arrival Date: If your arrival date is less than
30 days away, the total contract amount will be due at
time of booking. If your arrival date is more than 30
days away, an initial payment consisting of half of the
total rent is due at the time of the booking. The
balance of rent due will be due 15 days prior to your
check in date. For stays 4 weeks or greater, these fees
will be due 45 days prior to your check in date.
ARRIVAL time is 4:00 pm. DEPARTURE time is
10:00 am. If the rental unit is ready before 4:00 pm,
you may be allowed to check in early. You must call
ahead to make sure the unit is ready. Also, we do
require you to notify the office if you are leaving
before your scheduled departure date. This is essential
during winter months!
Maximum Occupancy: Maximum occupancy must be
strictly adhered to. Occupancy count includes children.
Exceeding the occupancy limit set for your unit is
grounds for immediate eviction.
Tenants must be 21 years of age. (This does not apply to
family groups.) ABSOLUTELY NO HOUSE PARTIES! The person
signing the contract must be 21 years or older and must
be present during the rental period.
Sugar Ski and Country Club reserves the right to
refuse service to anyone that they feel will not be
responsible for the property he/she is renting.
Cancellation Policy: This policy is based on the
N.C. Vacation Rental Act: If property is re-rented on
the same terms as your lease, we will refund all monies
paid less a $30 cancellation fee. If the property is not
re-rented on the same terms, Tenant will not be entitled
to a refund of any monies paid. Trip Insurance Premium
is non-refundable but in the event that you cancel for
one of the permitted reasons, you will be able to recoup
your investment back from the insurance provider.
Trip Cancellation/Insurance/Travel Insurance: We
offer trip cancellation/interruption insurance from
Travel Guard (Travel Guard Vacation Rental Protection
Plan) for your convenience. This insurance is optional,
but we strongly recommend it to help you to protect your
investment should you have to cancel your reservation
plans. We will send you a document explaining the
details of the coverage (benefits, exclusions, and
limitations) along with you Vacation Rental Agreement
(contract). You then have the option to accept it or
decline it by initialing in the proper place on the
contract. If you choose to decline the insurance, you
will simply initial page 1 of the Vacation Rental
Agreement where indicated, but remember NO REFUNDS WILL
BE GIVEN IN THE EVENT OF UNFORESEEN CANCELLATIONS unless
property is re-rented for the same amount or greater.
Travel insurance can be added to any reservation up to
the time that the Final Payment is made, but remember
the insurance will not cover pre-existing circumstances
or condition if not elected at time of making the
reservation. This policy has many other benefits
including airline travel delays, emergency medical
transportation and medical expenses. It is not something
guests want to think about and with good reason but
unfortunately, we find that many vacationers do become
ill or injured during their trip and many medical plans
do not cover illnesses and injures that occur on
vacation, or if they do, there are still out-of-pocket
expenses that must be paid. For more information about

Arrival Guidelines: Every effort is made to be
sure the homes are clean and ready for your arrival. If
we do not hear from you at the office within an hour
after your arrival, we will assume that the unit is
cleaned satisfactorily. If you arrival is after business
hours leave a voice message on the office phone. Only
call the emergency numbers late in the evening for
important problems; i.e., no key, no heat, no water. You
may be required to turn on the water for the home and
flip the hot water breakers during extremely cold
weather. IF this is necessary, instructions will be
included with your check-in materials.
All units are fully equipped for normal housekeeping.
Towels and linens are provided for all rental units. In
additions to sheets and towels, 1 roll of paper towels,
2 rolls of toilet paper per bathroom, kitchen garbage
bags, dishwasher soap, bath soap per bathroom are
provided to you. Personal items are not provided. Please
bring your own. Bring extra tools for the swimming pool
at the All Seasons Center.
Repairs & Service Calls: Please report any
inoperative equipment to our office promptly. We cannot
guarantee appliances; TV’s, hot tubs, etc and no refund
or rate adjustment will be made for any mechanical
failure including power outages. However, we will make
every effort to have repairs done quickly.
Waiver of Liability for the Swimming Pool, Hot Tub
and Sauna: The tenant understands that there are
special risks involved in the use of swimming pool, hot
tub and sauna located at the All Seasons Center. Tenant
is aware there are potential dangers to children who are
not carefully supervised, as well as any person using
hot tub or sauna too long or if a person has health
risks, is intoxicated, using any kind of drugs or
medication, or pregnant. Tenant agrees to waive any
claim whatsoever against Agent and owner of property for
accidents or injury arising from use of swimming pool,
hot tub or sauna. Tenant agrees that he/she is
responsible and liable for any damages that occur to the
swimming pool, hot tub or sauna through their or their
guests misuse or negligence.
Pets: Pets are not permitted by guests on
property of Sugar Ski and Country Club.
Recommended Items to Bring: Flashlight in case
you arrive at night, long distance calling card, camera,
light jacket ( a must year round thanks to our cool
mountain temperatures!), extra paper products,
dishwashing liquid, laundry soap, tools for All Seasons
Center, etc.
Snow Tires, Chains or 4-Wheel Drive: Snow tires,
chains, or 4-wheel drive is mandatory by the Village of
Sugar Mountain during adverse weather. This agency does
not guarantee any weather, road, or ski conditions, and
this is no refund as a result of either.
Long- Distance Calls: ABSOLUTELY NO LONG-DISTANCE
CALLS ARE PERMITTED. (Please note that Boone phone
numbers do not require an area code but are still long
distance from our rental units. You will be responsible
for any phone charges incurred while you are staying in
the rental unit.) This includes the AOL phone in Boone!
Please bring your calling cards with you. Some cellular
phones work in the area. Cellular coverage is also
determined by the cellular company that you use.
Moving of Furniture or Decorative Items: YOU ARE
NOT PERMITTED TO MOVE FURNITURE OR ITEMS decorating the
unit from their original position. If our cleaning staff
has to move furniture, décor, appliances (especially
TV’s, VCR’s, DVD’s, etc) back to their original
location, then a minimum additional fee of $25.00 will
be charged.
Heating: Each condo is equipped with electric
heat. All units have a wood burning fireplace that will
offer supplemental heat. Firewood can be purchased at
the All Seasons Center, if available, or purchased at
area grocery stores. Do not attempt to burn firewood
that does not fit in the fireplace. Make sure your fire
is completely out prior to your departure check out time
so that we may prepare the fireplace for the next guest.
Smoking: Smoking is permitted in designated units
only. If it has been determined that smoking did occur
inside a non-smoking unit, an additional fee will be
charged to cover the cost of smoke removal and any
damages incurred.
Departure Guidelines: Guests are asked to
straighten and tidy the rental unit. Please wash and
replace dishes and remove your bagged garbage to one of
the dumpsters on property prior to check out. You are
not required to make beds, vacuum, scrub floors or
sinks.
Items Left Behind in Rental: Items left behind in
the rental will be saved for 30 days. After that, they
will be disposed of unless we receive in writing (by fax
or email), in the 30 days, a request to have them
shipped back to you at your expense. We will need to
have the funds for postage prior to shipping. In
addition to postage and packing feed, there will be a
minimum fee of $10 for Sugar Ski and Country Club for
this service.
On-line Booking: The information that you provide
to us when booking your reservation on-line will assist
our reservationists in completing your Vacation Rental
Agreement that is required by the North Carolina Real
Estate Commission. We will email or fax your contract
within 24 hours of your making the online reservation.
Please follow the return instructions with this contract
so that we may confirm your online requests. For last
minute reservations, within 48 hours of arrival date,
please call the office direct to reserve your unit.
